Description

A lightweight business workflow that captures website form submissions, records them automatically in Google Sheets, and sends email notifications so incoming enquiries no longer need to be manually copied between systems.

Context

I built this project as a deliberately simple example of workflow automation. Many useful automations do not require AI. In this case, the problem was straightforward: information submitted through a website needed to be stored consistently and surfaced to the appropriate person without repetitive manual administration.

Challenge

The workflow needed to receive structured form data reliably, create a persistent record, and alert the relevant person without introducing unnecessary complexity.

The main design consideration was keeping each step explicit enough that failures could be identified rather than placing several responsibilities inside one opaque integration.

Constraints

The project was intentionally narrow in scope. It was not designed to replace a CRM or support complex lead qualification.

The emphasis was on demonstrating a dependable end-to-end workflow for a common administrative task.

Research

I mapped the existing manual process into discrete events: submission, validation, storage, and notification.

This made it possible to determine which tools were actually necessary rather than adding AI or additional infrastructure without a clear reason.

Iterations

The workflow began with form capture and was extended with Google Sheets storage and email notification.

The final flow kept the original submitted information available as a simple operational record while making new enquiries visible immediately.

Final Deliverable

Takeaway

This project was a useful reminder that automation should be selected based on the problem rather than the novelty of the technology.

A deterministic workflow was more appropriate here than an AI system, and the result was simpler, cheaper, and easier to maintain.
